Copy-editing

Copy-editing focuses on readability and flow. A line by line copy-edit corrects and smooths whilst maintaining the style and narrative voice of the author.

1. Editing for sense. This includes:
Consistency and continuity
Clarity, ambiguity, verbosity and repetition
Extent
Choice of words
Spelling, grammar, punctuation and syntax
Use of tenses
Structure, content and organisation
Accuracy, anomalies and errors of fact and contradiction
Legal issues (bias, libel, safety, etc)*

2. Maintaining/creating a consistent style and observing house style (where applicable)

3. Coding headings, quotations, illustrations and tables

*Although responsibility for legal issues remains with the author and/or publisher such issues may be flagged.

The result of copy-editing should be work that is clear, correct, coherent, complete, concise, consistent and credible – the seven Cs of editing.

Proofs are the final stage in the publishing process. A proofread is a final tidy-up and quality control before publishing.

Proofreading is line by line to mark any amendments and advise of any problems. This includes:

Standard and consistent spelling, grammar and punctuation
Homophones and homonyms
Omissions or inconsistencies in typography, layout and content
Repetition, missing text and reversed or transposed letters, words and lines
Consistency of style and observing house style (where applicable)
Pagination and chapter sequencing
Accuracy of illustrations, captions and labels
Word, column and page breaks including widows, orphans and short lines
Indention
Spacing and alignment
